How to File Your Confirmation Statement: Step‑by‑Step Guide

If you run a limited company, one of your annual compliance tasks is filing an annual confirmation statement. With recent changes to the government’s login processes and identity verification, it’s more important than ever to stay on top of how to do this correctly. Below is a straightforward walk‑through to help you through each step.
Very simply it is an annaul check complpeted by directors of a company, or accountants as their agent, to confirm that the details held by companies house of a specific company are accurate. It checks information about the registered office, directors, shareholders and their holdings as well as the business activity of the company and a registered email address.
First, a heads up: as of 13 October 2025, signing in to do confirmation statements and related filings will be changing. Rather than the old login method, you’ll need to use a gov.uk One Login to access Companies House services. This is part of a new identity verification regime for company directors and by 18 Nov 2025 you will also be required to verify your identify with companies house before you can file a cofirmation statement.
I’ve covered that change in another blog post, so if you want the full background on verifying your identity, check that out too. But for now, here’s the current filing path (with the new login in mind).
Go to the relevant .gov page.
Scroll down and click Sign In.
If you don’t already have an account, click Create a new account and provide the requested personal details to set it up.
Once your account is ready, sign in with your credentials.
You’ll then receive a security code via your registered email. Copy and paste that code into the prompt.
You may be asked to provide a mobile phone number. This is optional — you can skip it if you’d rather not give it.
Once logged in:
Click Web Filing under the confirmation statement section.
You’ll be asked for your company’s registration number (and the country of registration). If you’ve forgotten this, you can look it up via the Companies House “find information about your company” service.
Enter those details and click Continue.
A prompt screen will show your company details — review them carefully, then click Confirm and continue.
You’ll then see an Identity Verification notice (again, part of the new regime). If you want details on that step, see my supplementary video.
Before filing your confirmation statement, head to Manage e‑reminders.
Add your email address so Companies House can send you reminders when filing is due.
This is far safer (in my view) than relying on a paper postcard, which can get lost or delayed.
Once that’s done, scroll down and click File confirmation statement to begin.
Once you click “Start,” here’s what you’ll need to do — typically within 10–15 minutes (though it often takes less if you have your information ready).
Confirmation statement date — verify the date the statement covers.
Trading status — answer whether any of your company’s shares are traded on a stock market (usually “No”).
Registered email address — a new requirement: confirm your company’s registered email address.
Registered office address — check that your company address is correct.
Director (and officer) details — ensure names, addresses, and other particulars are current. If something is wrong, you may need to amend via a separate form.
Standard Industrial Classification (SIC) codes — check that your SIC codes reflect your business activities. You can add or remove codes as needed.
Statement of capital / share capital — confirm the number of shares, the nominal value (not market value), and whether any are unpaid.
Shareholder details — ensure details of each shareholder / voting rights are correct.
People with Significant Control (PSC) — list the individuals with controlling interests (if more than one).
Lawful activities declaration — confirm that the intended activities of your company are lawful.
Submit — once everything is checked, click Submit.
After submission:
You’ll be prompted to pay the filing fee (as of now, it’s £34). Note that it used to be £13 before.
The only payment method offered is via credit or debit card (or sometimes PayPal, depending on the interface).
Complete the payment details, confirm your submission, and finish.
You’ll receive an email saying the confirmation statement has been submitted (and later, accepted).
Don’t wait until the last minute. If there’s any discrepancy in your records (address, directors, share capital, etc.), you’ll want time to fix it.
Review your information thoroughly before submitting — once accepted, changes may be harder or costlier.
Stay on top of the new login / identity verification changes in October, so you don’t get stuck when deadlines come.
Use email reminders — they reduce the risk of missing your filing date.
Remember companies house information is held on the public register and key stakeholders such as potential lenders will be able to see if you confirmation statement is overdue - not a good look!
